About the Role
We’re recruiting for a Personal Assistant to join a high-performing Commercial team within a leading UK law firm. This is a key support role, providing full PA assistance to Partners and Legal Advisors, helping to ensure the smooth running of day-to-day operations while delivering an excellent service to both internal stakeholders and clients.
The Commercial team operates across a range of sectors including energy, automotive, retail, and technology, supporting clients on matters such as contracts, data protection, intellectual property, and major outsourcing projects.
This role is ideal for an experienced Legal PA who is proactive, highly organised, and thrives in a fast-paced, collaborative environment.
Key Responsibilities
Diary & Administrative Support
- Manage complex diaries, proactively resolving scheduling conflicts.
- Organise meetings, travel, accommodation, and logistics.
- Prepare draft correspondence, emails, and documentation.
- Produce, format, and amend documents to a high standard.
- Handle incoming calls and respond to routine enquiries.
Billing & Financial Administration
- Support billing processes, including invoicing and handling client queries.
- Monitor cash collection targets and follow up on outstanding payments.
- Prepare financial reports for internal and client use.
- Process expense claims and maintain accurate financial records.
Client & Compliance Management
- Open and close client files in line with best practice.
- Conduct compliance checks including AML and conflict checks.
- Prepare engagement letters and support onboarding processes.
- Maintain accurate client records within CRM systems.
Reporting & Systems Management
- Produce weekly performance reports using internal systems (e.g. SAP).
- Maintain and update client databases and internal systems.
- Support e-filing and document management processes.
Team & Event Support
- Provide support across the wider team and cover where required.
- Assist in organising client and team events.
- Collaborate with other PAs to ensure seamless team support.
Candidate Profile
- Previous experience as a PA within a legal or professional services environment.
- Experience supporting Partners or senior stakeholders.
- Strong organisational and diary management skills.
- Excellent attention to detail and document production skills.
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Experience with billing or time recording systems (desirable).
- Strong communication skills with a professional and approachable manner.
- Able to work independently and collaboratively.
- Proactive, adaptable, and comfortable managing multiple priorities.
